The SPA supports the Programs team by coordinating project plans and team assignments, tracking and reporting on project progress in various platforms, focusing on growing HFHP’s subcontractor pool and tracking Build team metrics. The SPA will schedule and supervise logistics for meetings, calls, and site visits.  As requested, the SPA will conduct research on issues and organizations, process improvements, and recommended solutions. 

Key Responsibility Area: Programs Team Reports/Analysis 

• Review the project requirements and scope and assist the Senior Director in the development and tracking of project plans and dependent deliverables 

• Schedule project meetings and plan sprint-type assignments in accordance with long-term strategies and deadlines 

• Produce and synthesize new research, reports and data relevant to HFHP Programs 

• Create and manage the team’s dashboards, tracking and updating task progress toward Programs team goals. 

• Prepare collateral and documents for construction funding pitches, committee meetings, and partnership meetings; prepare, proofread and edit written work and presentations as requested. 

Key Responsibility Area: Support HFHP Contractor Incubator 

• Identify and contact potential contractors and tradespeople to grow HFHP subcontractor pool, with a focus on MBE/DBE/WBE/DSBE entities and participation 

• Assists with contractor screening, contracting, and onboarding. 

• Work with Senior Director to implement standard templates for contracts and partnership agreements 

• Manage contractor and partnership tracking documents and report out data and analytics 

Key Responsibility Area: Meeting Facilitation 

• Schedule and coordinate logistics for meetings, partner/contractor calls and site visits. 

• Prepare for and facilitate regular team meetings, including Program Directors meetings, Board committee meetings, big think strategy sessions, and construction development and funder meetings 

• Track Programs teams-related Board Policies and Resolutions 

Required Education, Experience, Knowledge & Skills:

• Bachelor’s degree or equivalent study and/or work experience demonstrating a familiarity with, and/or commitment to nonprofits 

• Preferred, knowledge of or interest in affordable housing and construction in Philadelphia 

• Good communication and interpersonal skills, capable of maintaining strong relationships 

• Creative approach to problem-solving with the ability to focus on details while maintaining the big picture view and finding a “path to yes” 

• Documentation management and ability to use project management tools 

• Comfortable working at a fast pace, on many different tasks through a single day, as well as being able to focus on repetitive tasks for long periods of time. 

• Ability to meet deadlines, and to adjust to changes in assignments and priorities 

• Ability to work independently with limited supervision, and as part of a team 

• Comfort with quantitative data and project budgets 

• Knowledge of MS Word, Excel and PowerPoint 

Requirements to Perform Duties: 

• Ability to sit for an extended period of time at a computer and desk workstation
