JOB DESCRIPTION

The Tactile Group is seeking a full-time Administrative Assistant to support the CEO and business operations. The administrative assistant will provide support to our CEO (calendar, reimbursements, limited business travel coordination) and general office/business support (inventory, ordering, mail, reimbursements). This position reports to the Administrative Manager.

This position requires the candidate to report to Center City office Headquarters up to 3 days a week, with remote work from home the remainder of time.

Note: While The Tactile Group is an application development company, this position is not IT-related.

RESPONSIBILITIES

The primary responsibilities of this position will be:

• Manage CEO’s calendar and provide support for schedule (conflicts/staying on track)

• Provide administrative support to the administrative manager as directed (including calendar scheduling for recruitment and HR tasks)

• Monitors main phone line and voicemail, forwarding messages as appropriate

• Monitors general email account, forwarding messages as appropriate

• Make travel arrangements and process reimbursements

• Handle office tasks like mail and package reception; inventory and supply orders; maintenance and facility ticket management; maintain organized office space

• Event planning support for team builders

• Provide back-up invoicing support and A/P support as needed

• Prepares agendas and schedules for meetings

• Records and distributes minutes or other records for meetings

• Maintains filing systems as assigned (digital and physical)

• Work collaboratively, keeping the overall business goals top of mind.

• Be a creative thinker! Think through each project and explore/develop fresh ideas.

• Contribute to the overall culture of Tactile by being adventurous in your work, supportive of your peers, and enthusiastic about what we build.

• Additional responsibilities as defined

REQUIRED SKILLS & QUALIFICATIONS

To qualify for this position, applicants must have:

• Associate’s degree, preferred

• Minimum 2 years of relevant experience in administrative support

• Excellent verbal and written communication skills

• Ability to handle multiple simultaneous tasks and deadlines

• Agile learner, able to research and implement new technologies or solutions

• Experience with GSuite, Office Suite, and bookkeeping applications

• Comfortable with learning new technologies

• Discretion and ability to retain confidential information

• Must be proactive and self-directing with tasks

• Professional and friendly in all communications with internal team and external stakeholders

• Ability to undergo a background check and qualify for public trust security clearance for the federal government

• Per Federal contract, US Citizenship and proof of COVID Vaccination is required

• Willingness to occasionally travel to client offices (Washington, DC)
