The Programs Coordinator will carry out support for the programs team at Code for Science & Society (CS&S). The role includes administrative support for CS&S programs in the field of open public technology, including monitoring project plans, schedules, budgets, and expenditures; organizing and participating in community meetings; and supporting CS&S program leads to ensure deadlines are met in a timely manner. The programs coordinator will report to the Director of Programs, Angela Okune.

Code for Science & Society (CS&S) is a US-based 501(c)(3) nonprofit supporting open collaboration in public interest technology through fiscal sponsorship and other programs supporting sustainable open source, open data, open science, and open infrastructure projects. Our mission is to advance the power of data to improve the social and economic lives of all people. We partner with initiatives that use data, research, and technology to make knowledge and knowledge production more accessible. The Programs Coordinator will be working with the Programs team in coordination with our Operations department to ensure smooth running of our grant-funded programs. We are looking to deepen our capacity to develop new programming and support existing projects and grantees on questions related to community engagement, co-design, and stewardship of communities of practice. We are looking for a skilled multitasker to provide administrative support across our programs including: community-centered grant-making initiatives, cohort training programs, and research initiatives.

Key responsibilities

• Administrative support for the programs team with project planning and management, as well as logistics for community-focused program activities;
• Maintaining and monitoring project plans, grant and contract management, project schedules, budgets, and program expenditures;
• Organizing, attending, and participating in community meetings;
• Documenting and following up on actions and decisions from meetings;
• Preparing presentation materials for meetings in collaboration with program managers;
• Working with the programs team to collect and compile impact data for internal review and external reporting;
• Ensuring project deadlines are met;
• Providing administrative and logistical support as needed, including grant documentation and contract management;
• Undertaking project tasks as required such as reviewing impact survey responses and compiling those for the programs team;
• Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.

What we’re looking for

• 1-2 years of experience in an administrative or coordinator role at a nonprofit, including familiarity with contract and/or grants management;
• Professional interests that align with the core functions of this role, including project planning and management, supporting logistics for community-focused program activities, grant management, reporting, and nonprofit operations.
• A track record of high-quality independent work and experience working as part of a collaborative team;
• Attention to detail that extends through different types of work, including documentation, communications and facilitation;
• Appetite for and sensitivity to working with diverse communities across race, class, ethnic, political, and geographic boundaries;
• Experience with the tools currently used by our distributed team: Asana, Airtable, Dropbox Sign, Google Suite, Notion, Slack
• Exceptional verbal, written, and presentation skills;
• Knowledge of file management, transcription, expense tracking, and other administrative procedures.

Good to have

• Familiarity with or interest in open ecosystems (e.g. open science, open source software, open data, or other open communities);
• Experience with community engagement, especially organizing seminar events and speakers.

What we offer

• This is a remote, full time position estimated at 40 hrs/week with an expected start date in May 2023. CS&S is a remote-first organization with staff members including contractors based around the world. An ideal schedule will have this person overlap with program leadership in East Africa and the US East Coast time zones for at least 4 hours a day. Code for Science & Society and its network of projects is distributed across Africa, US, Asia, and Europe. The candidate should be able to collaborate with other time zones; this requires occasional early/late calls and we encourage employees to balance that with time off.
• Starting salary of 63K USD annually plus benefits (medical, dental, vision, life insurance, 401k with 4% employer match), and unlimited paid time off (we encourage a minimum of one week off per quarter for all employees).
• Fully compensated and funded travel to conferences, events, professional development opportunities, and other meetings is possible, depending on the interest and availability of the employee.
