How You Will Contribute

The Development Services Coordinator reports to the Manager of Development Service, and serves as an expert in the entry and maintenance of data in the Museum’s fundraising system, The Raiser’s Edge.  This position is also responsible for working with Raiser’s Edge queries and exports.

Specifically, you will:

• Maintain data in Raiser’s Edge (RE).
• Participate in evaluations and decisions regarding the most effective way to input information into RE and how to best translate PMA Development program information into the RE structure.
• Maintain and improve event participation data tracking and reporting
• Create basic data audit queries and run on a regular basis
• Identify opportunities for data clean-up projects including planning and implementing said projects
• Regularly update Board Committee information
• Merge records in Raiser’s Edge as needed
• Coordinate list criteria for a wide variety of mailings to donors and prospects including the Museum’s Annual Report and the Development Department’s periodical magazine
• Maintain standards for list exclusion related to constituent requests and internal strategies and provide to other departments upon request
• Under the guidance of the Manager of Development Services, produce mailing lists for events and publications
• Troubleshoot mailing and other lists produced from Raiser’s Edge
• Run a variety of existing reports upon request
• Analyze existing reports prior to distribution to ensure accuracy and identify any inconsistencies or potential problems
• Assist the Manager of Development Services in supporting departmental programs including Leadership Annual Giving, Gifts of Works of Art, and Institutional Support.
• Perform other duties as assigned

Your background and experience include:

• Proficiency working with technical systems: The Raiser’s Edge, Microsoft Excel and Microsoft Access 
• Strong organizational skills and the ability to prioritize and manage multiple projects to meet tight deadlines with excellent attention to detail
• Extremely detail oriented, with a focus on data entry and processes
• Ability to be flexible and creative
• Strong writing and communications skills
• Ability to work with confidential information with appropriate maturity and responsibility
• Administrative experience, preferably in a high volume or similar setting
• Previous development experience preferred

Position and Compensation Details

• The hourly rate for this position is $20.33
• This position is full-time, non-exempt working 35 hours per week
• This position is part of the AFSCME Local 397 bargaining unit
• This position reports to the Manager of Development Services
• Physical requirements:
• Able to remain stationary for extended periods of time, to utilize computers and other office equipment required of this job, to perform physically administrative duties in a typical interior office environment, gallery, or exhibit space, and to access most public and staff areas of the museum campus
• Able to regularly set up, adjust, and operate a computer/keyboard and other office equipment used to generate work/transmit data
• Able to move items up to 10 pounds
• COVID-19 vaccination required.
• Background check required after a conditional job offer is made. Consideration of the background check will be tailored to the requirements of the job.
