How You Will Contribute
The Benefits Associate is responsible for administering the museum’s benefits plans to ensure that the museum is compliant and positioned competitively to attract and retain staff. This position carries out responsibilities in the following functional areas: benefits administration, benefits compliance, employee onboarding, health and safety and employee wellness and may assist with other areas within the HR department as needed. 

Specifically, you will:

  • Administer various employee group insurance plans, including medical, dental, vision, life/ADD, disability, employee assistance, health savings accounts, medical and dependent care flexible spending accounts, COBRA, and retirement plans.
  • Conduct regular new hire benefits orientation as part of the museum’s onboarding process.
  • Communicate benefit plans and other employee memberships and perks to employees and assist with benefits questions and claims resolution. 
  • Verify benefit billing accuracy and process invoices for payment.
  • Lead the annual Open Enrollment process.
  • Maintain compliance with federal, state, and local employment and benefits laws and regulations.
  • Assist with resolving employee issues related to benefits plans.
  • Manage and foster effective relationships with benefit providers, brokers, and TPAs.
  • Conduct regular analysis of benefits within the museum.
  • Manage information integrity within the HRIS, compile reports from various databases as necessary to support benefits programs and compliance reporting.
  • Produce accurate and timely reports for federal and state compliance filings, i.e., OSHA, IRS 5500s, and 1095-Cs.
  • Manage the collection and submission of all required data under the Affordable Care Act.
  • Ensure ERISA compliance with all benefit plans and serve as HIPAA Privacy Officer.
  • Handle workers’ compensation claims and compliance.
  • Chair the museum’s Get Well, Stay Well Employee Resource Group and assist with the planning and coordination of employee wellness events.
  • Compile benefits information packet for exiting employees in timely manner and review with employees as needed. 
  • Maintain HR benefits pages on the museum’s intranet and ADP home page with the most up-to-date benefits documents and information.
  • Assist in benefit audits as needed working with HR management and Finance.
  • Assist with the planning and execution of several annual events, including employee health fair, staff holiday party, employee recognition luncheon, blood drive, flu shot clinic, and other employee appreciation events.
  • Assist in the development and implementation of employment policies and procedures.  Recommend new approaches, policies, and procedures to improve efficiency.
  • Review and propose benefits, wellness, and safety policies and procedures.
  • Member of the museum’s Safety Committee.
  • Administer the museum’s leave of absence policies and procedures, including FMLA.
  • Perform related duties, including special projects, as required.

Your background and experience include:

  • Several years of experience working with employee benefits, specifically health and welfare and 403(b) retirement plans.
  • Extensive knowledge of employee benefits laws.
  • Thorough knowledge of effective employment practices and laws.
  • Excellent communication skills and the ability to establish credibility and rapport with employees of all levels.
  • Strong customer service orientation.
  • Excellent analytical and problem-solving skills, including negotiation and conflict-resolution skills.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn the museum’s HRIS. Experience with ADP preferred.
  • Experience working in a union environment preferred.
  • Highly organized. Able to set priorities, manage time effectively, delegate where needed, and complete multiple assignments on time with a high attention to detail.
  • Ability to maintain confidential information, be professional and tactful in all situations.

Position and Compensation Details

  • The minimum salary for this position is $50,000.
  • This position is full-time, exempt, and 35 hours per week.
  • This position reports to the Director of Human Resources.
  • Physical requirements:
  • Able to remain stationary for extended periods of time, to utilize computers and other office equipment required of this job, to perform physically administrative duties in a typical interior office environment, gallery, or exhibit space, and to access most public and staff areas of the museum campus.
  • Able to move items up to 10 pounds.
  • COVID-19 vaccination required.
  • Background check required after a conditional job offer is made. Consideration of the background check will be tailored to the requirements of the job.
