The Office Manager will organize and coordinate office administration and
procedures, in order to ensure organizational effectiveness and efficiency.
The Office Manager is responsible for developing intra-office communication
protocols, streamlining administrative procedures, inventory control and task
delegation.
Your daily responsibilities include
The following and other duties may be assigned as necessary:
Office Management:
Manage relationships with vendors, service providers, maintenance and the
building landlord.
Maintain the office and monitor office supply inventory. Ensure that all
items are properly stocked and machines are cleaned twice per week.
Greet and coordinate visitors by welcoming them and directing them
appropriately.
Order and coordinate catering as needed for the office.
Engagement:
Create and organize Team members work from home engagement as well as
in-office engagement.
Partner with HR to create and plan engaging team member activities, programs
(including virtual events), and incentives.
Administrative:
Assist the Human Resources team in any needed onboarding or offboarding
tasks.
Coordinate with the IT department on all office equipment, including new hire
setup.
Maintain a budget and reconcile expenses for the office and Sr. Director of
Operations.
Coordinate travel and other administrative tasks for management and
leadership team members visiting the office.
Act as the main point of contact for all inquiries related to office
maintenance, mailing and shipping, supplies and office equipment.
Assist with state gaming licensing, including notary services and fingerprint
management.
Point person for maintenance, mailing, shipping, supplies, equipment, bills
and errands.
Assist with scheduling, data entry and organizing spreadsheets.
Reconcile department credit card receipts monthly.
Office Safety and Compliance:
Responsible for office safety and management. Ensure all team members are
abiding by safety precautions.
Audit health screening to ensure employees are completing questionnaires.
Monitor the office for any safety, construction, or technical issues as well
as a security video feed, intercom system, and wellness check responses.
Partner with the security staff to resolve any issues or concerns that arise
(on and off hours) such as building issues or access issues.
Maintain the access card system and coordinate with the security staff.
Create and enforce office protocols and procedures as needed.
Stay up to date with office requirements and mandatory postings.
Monitor weather or state closures that may impact building closure and work
with HR to ensure that team members are kept safe.
Additional duties as needed.
Qualifications

Minimum of 0-1 years of experience in HR or 2 years of education in
HR-related area
Natural problem solver with the ability and desire to flex from big picture
strategic thinking to hands-on execution
A sense of inquisitiveness and intellectual curiosity; ability to listen and
learn from others
Must be detail, data and process-oriented
Hands-on experience with Human Resources Information Systems (HRIS), Learning
Management Systems (LMS), and Applicant Tracking Systems (ATS)
Must be able to maintain confidentiality
Must be a collaborative team player and a consultative problem solver
Highly proactive style of work, with a demonstrated track record of
developing innovative approaches

Supervisory Responsibilities
This job does not have supervisory responsibilities.
Language Skills
Ability to read and interpret documents in English, such as safety rules,
operating and maintenance instructions, and procedure manuals. Ability to
read and communicate verbally in English. Written communication skills in
English may also be required.
Reasoning Ability
Ability to apply commonsense understanding to carry out instructions
furnished in written, oral, or diagram form. Ability to deal with problems
involving several concrete variables in standardized situations.
Certificates, Licenses, Registrations
Position requires licensing in applicable states where PI operates, which is
subject to change.

Travel Requirements
This position is expected to travel 5% of the time.
