public and behavioral health policy, research, systems, and services through

BBS is experiencing growth and needs an Office Manager/Administrative
Assistant to support various back-office functions, including contract
administration, payroll, insurance certification and compliance, invoice
preparation, policy and procedure development, and other key domains. This
role will also include administrative support on consulting projects (e.g.,
scheduling, coordination, agenda development, note-taking, data entry) and
executive support to the Managing Principal.

Job Duties
The Office Manager/Administrative Assistant is responsible for the successful
management of BBS in the following areas:
§ Perform contract administration, including printing, signing, scanning,
tracking, and filing
§ Manage certificate of insurance requests and coordinate with Managing
Principal and insurance brokers to ensure adherence to insurance requirements
§ Support Managing Principal with insurance and business license(s)
renewals, banking & tax documentation requests, and miscellaneous tasks
regarding BBS’s business operations
§ Manage new employee onboarding process
§ Maintain and ensure that personnel records are up to date and secure
(vacation/sick days, suspension notification, etc.)
§ Conduct administrative tasks in consulting projects, including meeting
coordination, agenda development, data entry and limited research
§ Research and answer any employee payroll and benefits questions
§ Manage various firm-wide meetings including agenda development,
scheduling, and tracking of follow-ups
§ Answer email correspondences from prospective clients
§ Maintain stock of office supplies
§ Maintain office equipment, including purchases, maintenance, & IT support
coordination
§ Maintain all company files and documents
§ Support the Managing Principal in internal systems development at BBS,
including the design of policy and procedures, implementation of project
management/tracking tools, basic data analysis, support of marketing and
communications efforts (including social media), and other duties
§ Assist in the development and implementation of operational policies and procedures
§ Execute other duties as assigned

Required Qualifications
§ 5+ years of office management experience; background in
consulting/professional services industry a plus
§ Knowledge of basic accounting principles, including AR, AP and general
ledger
§ Software experience with QuickBooks and Excel
§ Office management experience, including filing, inventory management,
answering phones/emails and miscellaneous office tasks
§ Familiarity and experience with Microsoft Office Suite
§ Excellent communication skills and phone customer service experience with
high-level professionals
§ Ability to multi-task and work independently in a fast-paced environment

The Office Manager/Administrative Assistant will be offered competitive
salary, healthcare benefits, and paid time off. The hourly range for this
position is $22-$27 per hour. BBS is open to part-time applicants who work a
minimum of 20 hours per week. We acknowledge that the behavioral health
